Swim Meet 101

Parent involvement is very important for out team.  Please make sure you sign up to volunteer to help out. 

Swimmers must arrive 1 hour prior to meet start time in order to check in with coaches and get ready for warm ups.

Parents must check in with volunteer coordinator.

Must Haves:

Swimmers should be prepared with:

  • Swimsuit
  • Googles
  • Cap
  • Towel

Please make sure all items are labeled, swimmers have similar T-shirts, googles and caps.  It will be best if we can identify the owners at the end of the meet!

We usually have themed meets.  Please check what the meet theme is.

Meet Timeline:

  • Individual Medley (IM) consists of a single swimmer swimming all four strokes; Butterfly, Backstroke, Breastroke, Freestyle
  • Freestyle
  • Back Stroke
  • Breast
  • Butterfly
  • Relays

Swim Meet Volunteer Positions:

When you sign up your swimmers for a meet, you'll need to provide one volunteer from the family to cover a swim meet volunteer position. Most jobs last half of the meet. Not all jobs listed here are needed for every meet. Some of the specific positions descriptions for the all league meet can be found on meet schedule job page. 

Chief Timer: Ensures stop watches are in working order.  Briefs timers on their duties, works with volunteer manager to assign timers into the appropriate lanes and ensure that each lane gets line time sheet clipboard before the meet. Makes sure timers are ready to time at each event as a backup in case one of the timers misses the start. Monitors timers in case they need assistance. Ensures all stop watches are returned at the end of the meet.

Clerk of Course:  Speaks to coaches about swimmers participating at a meet and strategizes on how to get the swimmers to their event.  Gathers swimmers for each event and heat (freestyle, backstroke, etc.) and guides them to the appropriate lanes or staging area for the swim meet. Once the event is ready, the clerk ensures that each swimmer is placed in the appropriate lane for the event. Notify the runners, referee, starter and computer manager if events need to be combined to shorten the meet. 

Computer Manager: Prepare for and manage computer responsibilities at meets. This includes arriving early to setup tables, tent and computer/printer, as well as takedown after the meet. It requires training on the software used to setup the meet and record times. After the meet entries are finalized, a "Heat Sheet" report is generated which specifies each swimmer and lane for each event and the order of events. Coaches and volunteers rely on this report to run the meet. Timer sheets are printed and distributed to the Timers. During the meet, timer sheets and DQ cards are received and recorded for the appropriate event and swimmer. When the meet is over, all events/times are verified and several reports are printed (Results and Ribbon Labels). Coordination with opposing teams is often necessary.

Concessions:  Help run the concessions area, arrives early to help set up tables, tents, food, drinks, etc. Stays to clean up and put equipment away.  Volunteers take orders, receive payment, serve food, and make snow cones. Concessions volunteer takes lead from Concessions Lead.

Hospitality: Welcomes visiting team to our pool. Ensures grounds are picked up and bathrooms presentable throughout meet.

Referee:  Open and Close each heat as head official of the meet. Requires training.  Briefs Stroke and Turn Judges and ensures runner knows who they are in order to sign off on DQ cards.

Ribbon Assembly: Get event results from the Computer Manager after the meet and assemble the correct ribbons for our team.

Runner: Collect time sheets from lane timers. Collect any Disqualification (DQ) cards from Stroke & Turn judges and take them to the referee for review. Take all time sheets and DQ cards to the computer table in order by event and lane line.

Starter: Starts each event, announcing the age, stroke and the words "Swimmers, take your mark." Pauses to make sure that all swimmers are motionless and then gives an electronic sound or blast of a whistle. Is the sole judge of False Starts. This job requires prior training.

Stroke & Turn Judge:  Observe strokes, turns, and finishes to see that swimmers comply with requirements for that stroke. Rule on infractions on assigned side of the pool. Requires training from a certified organization.

Team Area Parent: Monitors team area to insure swimmers stay with the team and are ready for their event. Help the Clerks of Course find swimmers when needed.

Timer:  Ensures they have the right swimmer in the lane they are assigned. Uses  stop watch that is provided by the team to take the time in their assigned lane. One of the three timers in each lane records the swimmer’s time on the time sheets. At home meets, Shift transition times are approximate. Shift 1 ends after Backstroke. Shift 2 starts with Breaststroke.

Volunteer Coordinator: Help the Volunteer Coordinator ensure all meet jobs are filled. Help track attendance using the meet signup reports from the website and help update job completions or absences on the website. This job requires some website administration and training is provided.
